View Full Version : Summary Subtotal to show detail Descriptions

Monarch V 8.01. Have been requested to revise the summary to include the detail on the subtotal line.

Here is what it looks like now:
Example :

TERM SCHOOLCODE SCHOOLNAME SCHOOLCITY GENDER TOTAL
2008 1234 LIBERTY HS ELSINORE M 23
2008 1234 LIBERTY HS ELSINORE F 18
SUBTOTAL 41

What they would like:
Example :

TERM SCHOOLCODE SCHOOLNAME SCHOOLCITY GENDER TOTAL
2008 1234 LIBERTY HS ELSINORE M 23
2008 1234 LIBERTY HS ELSINORE F 18
2008 1234 LIBERTY HS ELSINORE Total 18

We tried using the subtotal option on each field, but it was adding additional rows rather than two rows per school and of course for gender it was creating one row for each gender.

Total 18 is likely just a typo in the intended sample posted.

To provide the detail in the subtotal line, double click the field being subtotaled, then on the Display tab you'll see a checkbox next to the SUBTOTAL label for "Include key value". Check this box, and then select Left from the drop-down list, and OK your changes.

Yes, 18 was a typo, was copy pasting lines for samples. I think in my original post I mentioned

Which is essentially what Data Kruncher suggested. Since doing this (at least when we tried it) seemed to create additional rows (Male, Male Subtotal, Female, Female Subtotal) which is not what we are after as we want a subtotal of both Male and Female combined. Perhaps I'm missing a step or option when doing this?

The problem isn't missing a step, it's having too many steps. :)

Double click the Gender field and on the Display tab, turn off the subtotals.

You must another field between the Gender and the Total, as subtotals cannot normally be generated for the last key field listed prior to item fields and measures.
